rekrutX provides hiring workflow software for role intake, candidate pipeline management, screening, interview coordination, secure interview workflows, feedback collection, and finalist handoff.

This Privacy Policy explains how rekrutX collects, uses, stores, and shares information when you visit rekrutx.ai, sign in with Google, or use the rekrutX platform.

• Account information, including your name, email address, Google profile details, account role, organization domain, and authentication identifiers.
• Hiring workflow information, including roles, job descriptions, candidate names, candidate emails, phone numbers, resumes, interview rounds, interview notes, feedback, status updates, and scheduling details.
• Google Workspace authorization data, including OAuth access tokens, refresh tokens, granted scopes, token type, and the Google account email used by a hiring manager.
• Operational information, including request logs, device/browser details, timestamps, error logs, and security events needed to keep the service reliable and secure.
• Lead form information, including work email, company details, hiring requirements, and messages submitted through the site.

When a user chooses to connect a Google account, rekrutX requests only the Google permissions needed to provide visible hiring workflow features in the app.

• Google profile, email, and OpenID data are used for sign-in, account identification, organization access checks, and dashboard routing.
• Google Calendar event permission is used to create and manage interview events that the hiring workflow schedules on behalf of the connected hiring manager.
• Google Drive file permission is used to upload candidate resume files that are needed for interview coordination and interviewer review.
• Gmail send permission is used to send interview feedback requests, reminders, secure interview instructions, and join alerts from the connected hiring manager account.
• Google Meet readonly permission is used to check meeting space and participant attendance signals for interviews scheduled through rekrutX.

• Authenticate users and provide the correct company admin, organization admin, hiring manager, student, or reviewer experience.
• Create, update, and display hiring roles, candidate profiles, interview rounds, feedback requests, reminders, and secure interview links.
• Schedule interviews, send relevant interview communications, upload necessary interview materials, and monitor attendance for interviews scheduled through the platform.
• Improve reliability, prevent abuse, debug issues, enforce access controls, and protect the security of the service.
• Respond to support, legal, security, or business requests related to the platform.

rekrutX uses Google user data only to provide or improve user-facing hiring workflow features that are visible in the product. We do not sell Google user data. We do not use Google user data for advertising, retargeting, personalized ads, credit decisions, or unrelated analytics.

rekrutX does not allow humans to read Google user data unless the user has given permission for a specific support or operational need, access is required for security or abuse investigation, access is required by law, or the data is aggregated and used for internal operations in accordance with applicable privacy requirements.

rekrutX may use automated processing to extract structured hiring details from resumes, job descriptions, interview notes, and candidate workflow data. For example, the service may parse a resume to identify candidate contact details and a short candidate summary.

Google user data is not sold, used for advertising, or used to train unrelated AI models. If a third-party processor is used for a platform feature, that processor is used only to provide or improve the requested rekrutX feature.

• With authorized users in your organization, such as company admins, organization admins, hiring managers, interviewers, and users assigned to the relevant hiring workflow.
• With candidates and interview participants when required to send interview invitations, secure interview instructions, reminders, feedback forms, or similar workflow communications.
• With service providers that host, secure, monitor, or operate the platform, including cloud hosting, database, authentication, email, analytics, and AI processing providers.
• With Google APIs when you authorize Google Workspace features and when those features are used inside the platform.
• When required to comply with law, enforce our rights, investigate security issues, or complete a merger, acquisition, financing, or sale of assets with appropriate safeguards.

We use technical and organizational safeguards designed to protect information in transit and at rest. Access to production systems and sensitive credentials is limited to people and systems that need it to operate the service.

No internet service can guarantee perfect security. Users should use trusted devices, protect their Google accounts, and promptly report suspected unauthorized access.

We retain information for as long as needed to provide the platform, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations.

You may request deletion of account or organization data by contacting us. Some information may be retained where required by law, security needs, audit obligations, or backup retention practices.

• You can disconnect or revoke Google account access from your Google Account permissions page.
• You can ask your organization admin to update or remove your organization access.
• You can request access, correction, export, or deletion of personal information by contacting us.

rekrutX is intended for business hiring workflows and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

We may update this Privacy Policy from time to time. If we materially change how we use Google user data or personal information, we will update this page and, where required, request renewed consent before using the data in the new way.
